Job Summary:

The role will be aligned to one of the largest, strategic UK MDS contracts and will be responsible for providing commercial and administrative support throughout all stages of the contract lifecycle. The role is customer facing and works very closely with the operational Service Delivery team and Finance. The role is responsible for understanding the contract performance and HR administration.

Scope:

  • Commercial responsibility for aligned UK MDS Strategic contract – typically UK Central Government customers
  • Support Delivery Account Management on P&L performance management, Revenue and GP improvement, financial planning, outlook, variances to Business Case
  • Leading commercial strategy, identifying improvement opportunities and risk mitigation throughout the Contract Lifecycle
  • Building an effective customer relationship to ensure both parties are contractually compliant, negotiating when required
  • Responsible for reviewing the customer contracts, identifying all relevant clauses with risks or opportunities (seeking any council/advice needed from Xerox commercial leadership or legal) and ensuring contractual governance is monitored and maintained and any contract modification are raised when required
Main Responsibilities:

  • Assisting Document Services Managers with preparation of departmental rotas
  • Support Document Services Managers with processing GP certificates and self-certifications following periods of staff absence
  • Assist Account Director in preparation for monthly scorecard, collating all relevant data from Document Services Managers
  • Schedule meetings / diary management for Account Director
  • Arrange travel when needed
  • Support with data capture from job ticketing software and Power BI
  • Support with tracking team annual leave entitlements/sickness
  • Identify mandatory training elements across the teams and ensure timely completion
  • Ensure dissemination of key communications and updates from Xerox
  • Miscellaneous administrative tasks as requested by the Account Director and Document Services Managers
  • Support with data capture from job ticketing software and Power BI
  • Support with tracking team annual leave entitlements
  • Identify mandatory training elements across the teams and ensure timely completion
  • Minute taking for HR meetings and various team meetings
  • Monthly invoice preparation
  • Overtime reporting, tracking and invoicing
  • Client feedback tracking and reporting
  • Quarterly reconciliation invoice preparation
  • Monthly Scorecard data preparation
  • Assisting Document Services Managers with preparation of departmental rotas
Essential Skills:

  • Previous experience working with a legal or professional services environment
  • Previous experience within an administrative role would be preferable
  • Excellent written and verbal English
  • Confident working in Excel
  • Able to treat sensitive data with confidentiality
